Excel Tip of the Week: Repeating Row or Column

Today’s topic is setting a repeating row or column.

Sometimes you need to print out a large amount of data that spans more than one page. In this instance it would be nice to have your row or column headings show up on each page so that you don’t get confused when looking at the print-out. Excel allows you to do this very simply:

  1. From the “Page Layout” menu select “Print Titles” (Keyboard shortcut:Alt → P → I). For a Mac it is roughly the same but you’ll select the “Layout” menu from the ribbon and then select “Repeat Titles.”
  2. The “Page Setup” box will appear. Select the “Sheet” tab (see image below for example)
  3. Look for where it says “Rows to repeat at top” and “Columns to repeat at left”
  4. Click into either of those boxes and select your desired row or column which will show up on each printed page.
  5. Click OK.

It’s that simple. There are several other useful options within the “Page Setup” box which helps with how a spreadsheet will look when you print it. If you’re feeling adventurous try out some of the other options. You’ll be glad you did!
